Job Description:

Job Title: Reception & Administrative Coordinator (Female)

Job Summary:
Manage front desk operations, greet visitors, handle calls, maintain reception area, and provide administrative support. Act as the first point of contact for guests, clients, and employees.

Key Responsibilities:

  • Greet and assist visitors; direct them to the right person/department.
  • Answer, screen, and forward calls while maintaining confidentiality.
  • Provide company information and handle general inquiries.
  • Maintain visitor logs and issue visitor badges.
  • Handle filing, copying, scanning, and emailing.
  • Schedule appointments and manage meeting room bookings.
  • Assist in organizing office events and meetings.
  • Maintain contact lists and employee directories.
  • Track incoming/outgoing mail, couriers, and packages.
  • Monitor and restock office supplies; place orders as needed.
  • Coordinate with vendors and departments for repairs/maintenance.
  • Address inquiries and concerns politely and promptly.
  • Ensure a pleasant experience for visitors and customers.

Qualifications:

  • Experience as Front Office Executive, Receptionist, or similar role.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Knowledge of office management procedures; basic accounting preferred.
